About Life Pharmacy

Life Pharmacy is a retail pharmacy chain based in Quetta, the capital of Balochistan. It serves customers through 14 branches across the city, supported by a head office and a central warehouse, with a team of about 350 people.

For a pharmacy chain, quality is not abstract. Customers depend on getting the right medicine, in good condition, from staff who follow consistent practices, at every branch, every day.

The Challenge: The Same Standard at Every Branch

Running 14 branches from one warehouse creates a familiar challenge: making sure each branch works the same way. Life Pharmacy wanted a quality management system that would:

  • Standardise operations across all branches, so customers receive the same service and the same care wherever they shop.
  • Control the flow of medicines from suppliers to the central warehouse to each branch, with clear responsibilities at every handover.
  • Support compliance with the regulatory requirements that apply to the storage and sale of medicines.
  • Give management visibility of performance across branches, through objectives, monitoring and internal review.
  • Involve the whole team, so staff take ownership of the system and keep improving it, rather than treating it as paperwork.

Why Life Pharmacy Chose Qdot

  • Multi-site ISO 9001 experience. Qdot builds quality systems for organisations with many sites, using one documented system applied consistently at every location.
  • Customised, not copy-paste. Documentation is developed for each department and built around how Life Pharmacy actually operates.
  • A clear, time-bound plan. The project followed a defined sequence from gap analysis to certification, with a client-side project coordinator and working groups.
  • Support through certification. Qdot coordinates with the certification body on the client's behalf and supports the team through every stage of the audit.

The Qdot Approach

Phase 1: Gap Analysis (Completed)

Qdot began with discussions with top management and an on-site gap analysis of Life Pharmacy's existing practices and documentation against ISO 9001:2015. The findings were presented in a gap analysis report and used to plan the project.

Phase 2: Documentation Development (Completed)

Qdot developed QMS documentation for each department and section, covering the head office, central warehouse and branch operations. The system addresses the processes that matter most in a pharmacy chain, including purchasing and supplier control, receiving and storage, stock control and distribution to branches, customer service and complaint handling, and the quality policy, objectives, risks and monitoring that tie them together.

Phase 3: Training and Implementation (Completed)

Qdot trained Life Pharmacy's cross-functional team on the new system, and each department then put it into practice under Qdot's guidance. The aim, set from the start, was a system implemented in letter and spirit, with full staff involvement and ownership.

Phase 4: Certification Audit (In Progress)

Qdot is coordinating with the certification body on Life Pharmacy's behalf. With the Stage 2 audit now scheduled, Qdot will support the management representative through the audit and the closure of any findings.

Progress So Far

  • One quality system for the whole chain. A single ISO 9001 system now covers the head office, central warehouse and all 14 branches.
  • Documented, consistent processes. Every department has documentation built around its actual work.
  • A trained, engaged team. Staff across functions have been trained and are operating the system.
  • Ready for certification. The Stage 2 certification audit is scheduled.

What's Next

The next milestone is the Stage 2 certification audit. Once certified, Life Pharmacy will move into the annual surveillance cycle, with the opportunity to keep improving branch performance and customer service through the QMS.

Key Takeaways for Pharmacy Chains and Multi-Branch Retailers in Pakistan

  • Consistency is the product. In a multi-branch business, ISO 9001's main value is making every branch work the same way.
  • Control the supply chain end to end. From supplier to warehouse to branch, each handover needs clear controls and records.
  • Build the system around real operations. Documentation should reflect how the warehouse and branches actually work.
  • Involve staff from the start. A QMS owned by the team lasts; one imposed from outside does not.
  • Choose an accredited certification body. Check that the certification body is accredited by a recognised IAF / Global ACI MRA signatory.
